Who we are
With a Thread is run by Emma Lomax, a sole trader based in Surbiton, Surrey, UK. For the purposes of data protection law, I am the “data controller” responsible for your personal information. If you have any questions about this policy, email emma@withathread.com.
What information we collect
When you book a class or buy from us, we collect your name, email address, phone number, and the details of your booking or order. For product orders we also collect your delivery address.
If you sign up through our “Stay in touch” form, we collect your name, email address and your answers about the classes, workshops and venues you’re interested in. If you sign up to our mailing list at checkout, we record that you’ve agreed to receive emails from us.
If you choose to tell us about any access needs or health information relevant to attending a class, we’ll only use it to make sure the session is safe and comfortable for you, and only with your consent.
Payments are processed securely through Squarespace’s checkout using Stripe. We never see or store your full card details.
When you visit our website, Squarespace may collect basic information such as your IP address, browser type and the pages you visit, using cookies. See “Cookies” below.
How we use your information
We use your information to manage your booking or order, contact you about your class (for example, reminders or changes to a session), process payments and refunds, and respond to your questions.
We use your answers from the “Stay in touch” form to help plan classes and workshops. If you’ve ticked the box to join the mailing list, we’ll also email you about the things you’re interested in. If you haven’t, we won’t contact you.
We’ll only send you marketing emails, such as news about upcoming classes, workshops or new products, if you’ve agreed to receive them. You can unsubscribe at any time using the link in any email.
Our legal basis
We process your information because it’s needed to provide the class or product you’ve booked or bought (contract), to meet legal obligations such as keeping financial records, because we have a legitimate interest in running and improving our business, or because you’ve given your consent (for example, for marketing emails or sharing access needs).
Photos in class
We may take photos during classes to share on our website and social media. We’ll always ask first, and we’ll never post a photo of you without your permission.
Who we share your information with
We never sell your information. We only share it with trusted services that help us run the business:
Squarespace, which hosts our website and online shop
Stripe, which processes payments
Squarespace Email Campaigns, which we use to send newsletters if you’ve signed up
Etsy, for orders placed through our Etsy shop
WhatsApp, if you choose to contact us that way
Microsoft 365, which we use for our business email
Google reCAPTCHA, which helps protect our website forms from spam
Each of these has its own privacy policy and security measures.
Where your information is stored
Some of the services we use, including Squarespace, store data on servers outside the UK, including in the United States. Where this happens, they use appropriate legal safeguards to protect your information to UK standards.
How long we keep your information
We keep booking and order records for 6 years to meet tax and accounting requirements. If you’ve signed up for marketing, we keep your details until you unsubscribe. Health or access information is deleted once your course has finished. Answers from our ‘Stay in touch’ form are kept until you unsubscribe or ask us to delete them, or for up to two years if you didn’t join the mailing list.
Your rights
You have the right to ask for a copy of the information we hold about you, ask us to correct or delete it, object to or restrict how we use it, and withdraw consent at any time. To make a request, email emma@withathread.com and we’ll respond within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put things right first, though.
